Reports
Overview
The DOLU.ai Reports module provides a comprehensive analytics and dashboarding layer that transforms your raw CRM, conversation, campaign, and sales data into actionable insights. Rather than exporting data to spreadsheets and building pivot tables manually, you can use pre-built report templates or create custom reports that pull data from across the entire DOLU.ai platform — contacts, deals, conversations, campaigns, support tickets, forms, Google Ads, Google Reviews, and more.
Reports help you answer critical business questions: Which channels generate the most leads? What is our average deal close time? Which sales rep has the highest conversion rate? How is our customer satisfaction trending? What is the ROI on our Google Ads campaigns? All of this data is available in real-time, shareable dashboards that you can schedule to be delivered to your inbox on a recurring basis.

Use Cases
Sales Management
The sales manager reviews the weekly pipeline report every Monday. The dashboard shows total pipeline value, number of deals per stage, win rate, average deal size, and individual rep performance. Deals stuck in the same stage for over 14 days are highlighted, prompting the manager to intervene.
Marketing ROI Analysis
The marketing team compares lead generation across channels: Google Ads, Instagram, WhatsApp, organic web, and referrals. They track cost-per-lead and cost-per-deal for paid channels, and compare conversion rates between organic and paid traffic. Monthly reports are sent to the CEO.
Customer Support Operations
The support lead monitors daily ticket volume, average resolution time, first-response time, and SLA compliance. A dashboard widget shows tickets approaching SLA deadlines. Weekly trend charts reveal if ticket volume is increasing (indicating a product issue) or decreasing (indicating improved self-service).
Multi-Location Business
A franchise owner with 5 locations uses location-based filtering to compare performance across branches. Each location's revenue, customer count, appointment volume, and review rating are displayed side by side. Monthly dashboards are emailed to each location manager with their specific data.
Tips & Best Practices
Start with Pre-Built Templates
Do not build custom reports from scratch until you have explored the pre-built templates. They cover the most common analytics needs and can be customized with filters and date ranges.
Use Comparison Mode
Always view reports with comparison enabled (this month vs. last month, this quarter vs. last quarter). Absolute numbers tell you where you are; comparisons tell you if you are improving.
Schedule Reports for Stakeholders
Instead of logging in to check reports manually, schedule weekly or monthly deliveries to your email. This builds a habit of data-driven decision-making and keeps the entire leadership team aligned.
Combine Multiple Data Sources
The most valuable insights come from cross-module analysis. For example, combine Google Ads spend data with deal revenue data to calculate true ROAS. Or compare form submission rates with conversation conversion rates to identify the best lead capture method.
Troubleshooting
Report showing no data
- Check the Date Range filter — it may be set to a period with no activity.
- Verify the Filters are not too restrictive. Remove filters one by one to identify which one is excluding all data.
- Ensure you have the correct role permissions to access the data being reported on.
Scheduled report email not arriving
- Check your email spam/junk folder.
- Verify the schedule is active in Reports → Scheduled Reports.
- Ensure the recipient email addresses are correct and reachable.
- Contact your admin if email delivery is failing across the board (may indicate an email configuration issue).
Dashboard widgets loading slowly
- Dashboards with many widgets querying large datasets can be slow. Try limiting the date range.
- Use filters to reduce the data volume each widget processes.
- Consider creating separate dashboards for different topics instead of one very large dashboard.
Exported CSV has unexpected format
- CSV exports use comma as the default separator. If your spreadsheet software uses a different separator (e.g., semicolons in some European locales), adjust the import settings in your spreadsheet application.
- Date formats in CSV follow the ISO 8601 standard (YYYY-MM-DD). You may need to reformat dates in your spreadsheet for local display.
FAQ
Q: Can I share a report with someone who does not have a DOLU.ai account? A: Yes. Scheduled report emails can be sent to any email address. The recipient receives the PDF or CSV without needing to log in. For interactive dashboard sharing, the recipient needs a DOLU.ai account.
Q: How far back does report data go? A: Reports can access all historical data in your DOLU.ai account from the day you started using the platform. There is no time limit on historical data access.
Q: Can I combine data from multiple modules in one chart? A: Yes. The custom report builder supports multi-source reports. You can, for example, plot Google Ads spend alongside deal revenue on the same chart.
Q: Are reports real-time? A: Dashboard widgets and on-demand reports reflect data in real-time. Scheduled reports use the data available at the time of generation.
Q: Can I set up alerts based on report metrics? A: Yes. In the Notification Rules settings, you can create threshold-based alerts (e.g., "Notify me when weekly ticket volume exceeds 100") that evaluate report metrics on a schedule.
Q: Is there a limit to the number of custom reports and dashboards? A: Limits depend on your subscription plan. Check Settings → Billing for your plan's report and dashboard quotas.
